Position: Operations Manager


Manage policies and processes to build a strong, joyful organization. 

Operations Manager is a full-time exempt remote position, reporting to the CEO. 

Preferred start date: January 2020. 

Base salary: $48,750-$65,000 depending on location (see employee handbook for more info on our approach to pay and pay transparency)

OF/BY/FOR ALL is a young, fast-growing nonprofit SAAS organization that helps civic and cultural organizations become more inclusive and relevant to their diverse communities. Our work has been profiled in Forbes.com, and we have a strong team of community organizers, technologists, and nonprofit innovators. OF/BY/FOR ALL is a distributed organization, with 4 full-time staff and 47 member organizations in 9 countries. We’re raising $2MM to fuel program expansion in 2020/2021, and we expect to grow to a full-time staff of 9 during this time. Position Overview:


The Operations Manager is the glue that holds our organization together. You oversee vendor recruitment and HR-related activities. You wrangle receipts, book travel, coordinate program registrations, assist the CEO with special projects, and keep this global, distributed team going and growing. You ensure that our staff have the tools and support they need to do their best work, and you seek out ways to make our work more inclusive, impactful, and joyful.

Key Responsibilities:


Make it easy for people to get involved in our programs. 
  • Field general inquiries to the organization. Help people find the right OF/BY/FOR ALL staffer to answer their questions (often, it will be you!).
  • Member system management: coordinate registration, payment, and basic customer support questions for our participants. We work with hundreds of organizations each year through our online Change Network program and in-person bootcamps. You’ll make sure folks get signed up, manage renewals, and ensure they have the basic information they need to participate fully.  
  • Coordinate OF/BY/FOR ALL event logistics. Coordinate all logistics for in-person board meetings and staff retreats. For member events and programs, manage online team registration, pre-event team communication, venue negotiations, travel bookings, and event-related printing and materials.
  • Work with the finance manager to support smooth day-to-day accounting. Deposit checks, track down receipts, and help staff and participants with issues related to invoicing and payment. 

Manage HR and staff development activities. 
  • Create and hone processes that keep our all-remote team happy, human, and doing their best work. Schedule, record, and keep notes from regular virtual and in-person staff and board meetings. Research, propose, and implement improvements to processes for team collaboration, communication, and project coordination. 
  • Onboard new staff and support all staff with career development. Ensure new staff get started with confidence and clarity. Help staff set and pursue individual goals for personal and professional development. 
  • Manage HR and legal basics with sensitivity and care. Run payroll. Coordinate benefits. Encourage staff to take time off. Maintain company insurance, tax filings, and other compliance-related activities. 
  • Source potential staff and vendors. Partner with colleagues to write effective job postings and vendor RFPs. Post opportunities and get them seen by strong, diverse candidates who align with our values and can contribute to reaching our goals. 

Provide executive assistant support to the CEO.
  • Work with the CEO on special projects related to fundraising and partnerships. Do market research, prepare decks, and draft materials for funders and global partners. Manage grant reporting. Coordinate and negotiate speaking opportunities.  
  • Provide executive assistant support to the CEO. Assist Nina Simon with email management, board materials, travel booking, mailings, and various small projects as needed.  
  • Take on random projects as needed to support a young, fast-growing nonprofit. Source sweatshirts, find a socially-responsible 401k option, file a trademark… you may not know how to do it yet, but you’re ready to dive in. 

People who excel in this position bring:


  • 3+ years experience in administration, HR, office management, and/or business operations, preferably in an all-remote environment across multiple time zones.
  • Experience and/or expertise in specific practices to ensure that people of diverse abilities and backgrounds feel safe and supported at work and at our events.
  • Experience and/or expertise in developing healthy work cultures in an all-remote or distributed setting.
  • Incredibly high level of organization and resourcefulness, able to juggle and multi-task with acute attention to detail and follow through.
  • Experience with sales and/or customer service, finding joy in helping others. 
  • Passion for people, processes, and operational problem solving.
  • Ability to navigate a constantly-changing environment and occasional high-pressure situations with calm, collection, and a can-do attitude.
  • High empathy and the ability to communicate in a clear and caring way with many different kinds of people. 
  • Curious, growth-oriented, tech-savvy, and unafraid to take on new things.
  • Passion for measuring things, getting feedback, and getting better.
